Club Rules

CLUB RULES

All Virgin Active members (“Members”), guests, and those periodically visiting (together “you”) a Virgin Active club in operation in the UK (a “Club”) must comply with these Rules. These Rules are incorporated into a Member’s Contract with us, and compliance with these Rules is important both to maintain the standards at our Clubs and to enable Members to get full enjoyment from their Membership. In these Rules, “Virgin Active”, “us”, “we” or “our” means Virgin Active trading through any Virgin group company. Words and phrases in these Rules have the same meanings as given in our Membership Terms & Conditions, unless specified otherwise. 

Any person who does not comply with these Rules (or engages in any other misconduct) may be ejected from, or denied access to a Club, or may have their Membership terminated by Virgin Active. Your safety and that of our people here at VA, is our highest priority. 

We reserve the right to make reasonable amendments to these Rules, or our individual Club operational rules, at any time. If we do this, we will give Members reasonable advanced notice by making you aware in Club. As such, the Club Rules will change from time to time. If in doubt, please ask a member of our team.  

Any special measures and operational rules (on display in various parts of the Club) take precedence over any others for the time being and they are in place to provide a safe environment for all; for training right, in line with best practice for hygiene, cleanliness, Club operations, Team and Member safety. 

 

MEMBERSHIP

  1. Acceptance of an application for Membership at each Club is at our absolute discretion (although we will exercise our discretion reasonably, and in compliance with applicable laws). 

  1. Membership entitles Members to use the facilities available from time to time at their Home Club. We offer different types of Memberships and facilities at each Club, and the types of memberships and facilities offered by us will differ from Club to Club, and may change from time to time. 

  1. You should contact your Home Club if you would like further details of different types of Virgin Active Memberships that are available. Each category of Membership has different restrictions, conditions, and benefits. Another category of Membership or Club may be of interest to you if your requirements or circumstances change. 

  1. If you are a RSO or on the SOR we ask that you do not enter into a Membership at any of our Clubs, we reserve the right to terminate your Virgin Active Membership if we suspect that you may be in breach of this rule. 

MEMBERSHIP CARD AND RFID

  1. A Membership Card will be issued to each Member when they join a Club and, in relation to Home Clubs incorporating RFID technology, an RFID wristband.
     
  2. There is a fee of £7.50 for the issuance of RFID wristbands:
    1. When a member requires this to access a club, or use a locker, at a club that is not their home club.
    2. For the replacement of lost, stolen, or damaged RFID wristbands.
  3. There is a fee of £5 for the replacement of lost, stolen, or damaged Membership Cards.
     
  4. Each Member must have his/her/their card swiped for security and verification on each visit to a Club before proceeding into the Club. Any Member attending a Club without a valid Membership Card may be asked for proof of identification. 
     
  5. A Member must not lend their Membership Card or RFID wristband to anyone else as membership is personal and covers only the Member’s use of a Club. 
     
  6. On termination of membership, for any reason, the Member is required to surrender their Membership Card and (where applicable) TGS key and RFID wristband to Virgin Active at their Home Club. 
     
  7. Where Virgin Active terminates a Member’s membership, this may make the Member ineligible for membership at all Virgin Active Clubs. For this purpose, Virgin Active will communicate such Member’s personal data, and reason for termination, to other Clubs as may be necessary to administer this Rule. 

GUESTS AND VISITORS

  1. Members (over the age of 16) may bring guests to a Club provided that: (a) we receive payment of the guest fee, as set out in the relevant Club price list current at the time of the guest’s visit charged by the Club; and (b) the guest completes a Health Commitment Statement as requested by us. In the few Clubs where non-members are permitted without an accompanying Member, these visitors must pay the relevant visitor fee and complete a Health Commitment Statement as requested by us, unless local authority rules prevail. 

  1. If a Member is under 18, their guest must be 16 or over.

  1. Members must accompany their guest at all times and the Member who brings the guest remains responsible for their guest’s conduct whilst they are in a Club. The Member may not leave that Club prior to their guest’s departure. 

  1. Certain former Members, persons who have applied for Memberships but have been denied, and former members of staff, may be ineligible to be a Member, or guest, of a Club. If in doubt, the Member should check with a Club’s management for advice. 

  1. A Member who has “frozen” his/her Membership will not be allowed access to any Club (including as a guest). 

  1. Members must ensure their guests pay the appropriate guest fee, or surrender a valid guest pass (if applicable) before accompanying them into a Club. 

  1. Members must ensure that their guests comply with these Rules. 

  1. A person may be allowed to enter as a visitor to a Club by prior arrangement or appointment, subject to Virgin Active’s absolute discretion and may be required to pay the guest fee (as set out in the relevant Club price list, current at the time of visit) and provide photo ID to gain entry.  

  1. All visitors must complete a Health Commitment Statement prior to using the Club. 

  2. The club team may refuse access to your guests, if the club capacity is high and we are unable to accommodate. 

  3. When a guest requires the use of an RFID wristband in order to have use of a locker, they are required to purchase an RFID wristband for £7.50. The member or guest may keep this wristband, to be utilised on future visits. However, this wristband will not allow club access until linked to an active membership.

BEHAVIOUR & CONDUCT

  1. You should conduct yourself in a quiet and well-mannered fashion when in or about a Club, and in a manner that will not disturb or impair the use and enjoyment of that Club by any other person. In particular you may not use foul, loud, or abusive language, nor will you behave in a threatening manner, nor will you molest, or harass, other Members, guests, visitors, or members of staff.  

  1. You may not bring, use, or be under the influence of drugs or intoxicating liquor or substances in any part of a Club.  

  1. Members of a Club, their guests, visitors, and members of staff should at all times display mutual respect for each other. 

  1. Complaints should be communicated privately to a member of the relevant Club’s management, in the feedback section on our App, or in writing by post to the Club’s General Manager. 

  1. Smoking is prohibited in any area of the club including the use of e-cigarettes or similar devices. 

  1. You must be dressed in suitable attire at all times when on Club premises, and appropriate exercise clothing is required whilst exercising in a Club. Guidance as to suitable attire may be obtained from the Club General Manager who may, at his/her/their discretion, require you to leave a Club or part of a Club premises, if your attire is not considered suitable. 

  1. Only one individual is permitted in a toilet or shower cubicle at any one time (with the exception of a parent or parent or guardian who may take his/her/their own child aged up to eight years into a shower cubicle with them). 

  1. Members are respectfully requested to store coats and rucksacks in the lockers provided and the same cannot be brought onto the gym floor or left unattended anywhere else in the Club.

HEALTH & SAFETY

  1. You must use the main entrance to a Club when entering or leaving that Club. 

  1. Fire exits, which are clearly marked, are there in the interests of safety and you must not interfere with or obstruct fire doors for any reason. 

  1. You must read the health & safety notices posted outside any equipment or facility rooms in a Club and comply with the recommendations. 

  1. You must comply with any reasonable requests made by the members of staff in relation to matters of health and safety. 

  1. We reserve the right to amend the Club Rules at any time and if necessary, without notice to you. We will always attempt to notify you of any changes, especially in relation to health and safety. 

GENERAL

  1. Whilst in our Clubs, members should respect others’ personal space. 

  1. Opening times for a Club will be prominently displayed at the relevant Club and on our Website and/or App. 

  1. The club facilities (excluding the changing rooms) will close 15 minutes before the advertised closing time to allow members time to change. This supersedes any other advised information in relation to our facility opening times. 

  1. You may not bring pets (other than guide or assistance dogs) onto the Club premises. 

  1. We reserve the right to use any individual or group feedback, photographs or movie shots of you for press or promotional purposes. Where reasonably possible, we will notify you of any filming or photography taking place in Club and may ask you to sign a use of image rights form to consent. 

  1. We reserve the right to show potential members and other individuals the facilities of a Club on a trial basis. 

GYMNASIUM USE

  1. You must complete a Health Commitment Statement as requested by us before using any fitness facilities. 

  1. You should seek instruction before using unfamiliar equipment. 

  1. Appropriate clean exercise clothing and shoes must be worn whilst exercising. 

  1. Gymnasium equipment must not be used for longer than 15 minutes during busy periods. 

  1. You should wipe down all equipment after use. 

  1. You are asked to arrive at the gymnasium five (5) minutes prior to any personal training or induction appointments. We reserve the right to refuse to re-book an appointment for you if you repeatedly cancel (with less than 24 hours’ notice) or fail to keep an appointment for services and/or exercise programmes. 

  1. You may not use the gymnasium while under the influence of alcohol, anticoagulants, antihistamines, beta-blockers, narcotics, tranquilizers or any medication or other substance which may affect your ability to exercise safely. 


GROUP EXERCISE CLASSES

  1. You must pre-book classes to ensure your participation in them. 

  1. If you can no longer attend a pre-booked class, you must cancel your booking online via our App or Website by giving at least 30 minutes’ notice.  

  1. If you book a class and fail to attend without cancelling correctly (as above) three times in any 30 day period then your class booking rights will be put on hold for a week. 

  1. You can book up to a maximum of ten classes at any one time. 

  1. Class timetables and instructors are subject to change from time to time without notice. 

  1. You are requested not to open the doors while a class is in progress, as this may interfere with the operation of the air-conditioning system and disrupt other participants. 

  1. In order to avoid disturbing classes, you are requested to arrive in good time. Classes will commence at the scheduled time. Entrance to classes after the class start time will be refused. Any spaces available at the start time will be offered to those present and waiting. 

  1. Where, in the opinion of an instructor, a class is overcrowded, the instructor may restrict the number of attendees in the class. 

  1. An instructor may, at any time, ask you to leave a class if you are jeopardising the safety or enjoyment of others. 

  1. We reserve the right to limit your participation to only one exercise class per day. 

SWIMMING POOL AND SPA AREA

For reasons of health, safety and hygiene you must: 

  1. (a) obey the instructions of our lifeguards;  
    (b) always shower before entering the sauna, sanarium, steam room, Jacuzzi or swimming pool;  
    (c) not consume, store, or bring into the changing rooms or swimming pool area, any food or drink or any kind of glass container;  
    (d) only shave in the wash basins provided;  
    (e) not attempt to dry clothes or towels in the sauna or sanarium; 
    (f) not bring sauna oils or essences, cosmetic products, newspapers/magazines/books or other flammable materials into the sauna or sanarium as these constitute a serious fire hazard; 
    (g) not bring oils or essences to the steam room either as pouring them on the steam outlet will create a burn hazard. 

  1. Each Club’s management reserves the right to limit you to 20 minutes in the swimming pool if it is busy. 

  1. You must: (a) wear long hair tied up, or in a swimming cap whilst in the swimming pool; (b) not run around, jump or dive into the swimming pool; (c) comply with any swimming direction posted in the swimming pool area; (d) wear appropriate swimwear only. Swimwear that covers large areas of the body (including burkinis and full body swimsuits) is permitted provided the safety of the swimmer is not compromised. 

  1. No balls, floats, or inflatables are permitted in the swimming pool area other than those provided by a Club. Buoyancy aids are permitted. 

  1. The swimming pool areas may from time to time be reserved for adults only, swimmers only, or swimming lessons. Prior notice will be displayed on Club notice boards. 

  1. Heads should never be submerged in the Jacuzzi. 

  1. You may not use the saunas, steam rooms or Jacuzzi while under the influence of alcohol, anticoagulants, antihistamines, beta-blockers, narcotics, or tranquillisers. If you have high or low blood pressure, heart disease, cardiac irregularities, asthma and/or diabetes, or if you are pregnant you should consult your doctor prior to using our Club facilities. 

  1. You should use the steam room, sauna, swimming pool and Jacuzzi (where applicable) in moderation and under medical advice. 

  1. When using the steam room and/or sauna, you must wear swimming attire. 

  1. Family Swim and swimming lesson times (where applicable) are posted within the Club and may vary on occasion. 

  1. Juniors taking part in swimming lessons must wear a swimming hat during lessons.

CLUB-V

  1. Club-V openings times (where applicable) are posted within the Club and may vary on occasion. A guardian may be asked to remove their child from Club-V, if, in the opinion of Club-V management, the child is upset, ill, or not adhering to the Club-V behaviour policy. 

  1. Parent or guardians are required to complete registration forms for all junior members before access to Club-V is permitted. 

  1. Parent or guardians should allow adequate time to sign in to Club-V and settle their children. 

  1. Parent or guardians must remain on site at all times while their children are in Club-V activities unless their child is registered as a Day Camp Child. If the junior member is registered as a Day Camp Child, once their child has been registered by the Junior Activities staff for their visit, the Parent or guardian may leave the club. 

  1. Parent or guardians must provide all nappies, wipes, and drinks required during the child’s visit. 

  1. Parent or guardians who leave their child in Club-V must also collect them in person. Another person may only collect a child from Club-V when specific arrangements have been made and agreed in advance with the Junior Activities team. 

  1. Junior members must not be brought into Club-V if they are suffering from any infectious illness or condition such as vomiting or diarrhoea. Please refer to the Club-V Hygiene and Medication Policy for further details. 

  1. Parent or guardians must ensure that children are appropriately dressed. 

  1. Parent or guardians must inform a member of staff if their child has additional needs. 

RACQUETS

  1. Junior members over the age of 12 have access to booking courts three days in advance. 

  1. Class bookings  
    (a) Advance bookings are needed to secure places for all our classes. If you have not booked, Reception will be able to let you know if spaces are available.  
    (b) Classes can be booked up to seven days in advance.  
    (c) Before starting a class, you will need to swipe in at Reception.  

  1. Court bookings  
    (a) All courts need to be booked before you play to secure them.  
    (b) Courts can be booked on our App and Website. 
    (c) We (the Club) can reserve courts for tournaments, events and promotional activities at any time. We will try to give advance notice of this, but may not always be able to. 

  1. Arrival for courts  
    (a) On arrival, swipe in at Reception and we’ll give you your court number.  
    (b) If you don’t swipe in, there will be a ‘No Show’ strike on your membership account. 
    (c) You have 15 minutes from the start of your booked slot to claim your court, after which time the court will be made available to others.  
    (d) If all courts are booked but you spot an empty one, you can claim it by speaking to Reception 15 minutes after the beginning of its unclaimed booking.  

CANCELLATIONS 

  1. Courts  

    (a) Courts can be cancelled up to 30 minutes prior to the booking. 

    (b) If you cancel less than 30 minutes beforehand, there will be a ‘No Show’ strike on your membership account. 

    (c) If you simply do not turn up, there will be a ‘No Show’ strike on your membership account. 

    (d) If you receive three No Show strikes your booking rights will be suspended. 

  1. Adult Lessons  
    (a) If you cancel more than 24 hours beforehand, there will be no charge.  
    (b) If you cancel less than 24 hours beforehand, the full lesson price will be charged. 

CHILDREN

  1. Only certain Clubs offer junior memberships. Access times for Junior Members will be prominently displayed at the relevant club within Club-V. 

  1. All Junior Members must have a linked live adult paying member (not on freeze) who is their parent, legal parent or guardian or other person who has been registered with us as someone who may bring the junior member into the club and take responsibility for them (their “Parent or Guardian”). 

  1. Junior Members under the age of 12 may only be brought into a club if accompanied by their Parent or Guardian and under direct supervision of their Parent or Guardian at all times unless the Junior Member is involved in a qualifying organised children’s activity or are supervised within Club-V. 

  1. Junior Members over the age of 12 can sign themselves into a Club to attend prearranged and approved sessions with coaches (e.g. swim, racquets or PT) provided their Parent or Guardian signs the relevant consent forms and at the end of their session they leave the facilities or are met by their Parent or Guardian to supervise them. 

  1. Junior Members under the age of eight may change in either sex changing room under adult supervision and in designated areas only. Junior Members aged 8-15 years must change in designated areas in the changing room of their own sex. 

  1. If a Member has concerns regarding a child or an adult at risk's welfare, they can report these concerns confidentially to a Designated Safeguarding Lead in Club. Details on Virgin Active's safeguarding policies and procedures are available in Club-V. 

CHILDREN / JUNIOR GYMNASIUM USE

  1. Junior Members under the age of 10 are not permitted to use the gym floor. 

  1. Junior Members over the age of 10 may use certain equipment on the gym floor provided they take part in the relevant induction for their age and they only use the equipment covered in their induction and permitted for their age grouping (over 10, over 12 and over 14 years of age). 

  1. Junior Members must wear the appropriate wrist band for their age grouping at all times whilst on the gym floor. 

  1. Junior Members must listen and comply with any instructions from Virgin Active staff. 

  1. All Junior Members aged 10 to 14 must be accompanied by their Parent or Guardian on the gym floor. Junior Members over the age of 14 may use the gym floor whilst their Parent or Guardian is elsewhere in the Club, provided the Junior Member has had the relevant gym floor induction for over 14s. 

FAMILY GROUP EXERCISE CLASSES

  1. Junior Members may attend specific family friendly group exercise classes with their Parents or Guardians who can attend with Junior Members on a 1:2 ratio. 

  1. These classes, along with the relevant age banding, are marked on the timetable for each Club but before attending for the first time, you should check suitability of the class prior to booking, by speaking to a relevant team member in Club. 

CHILDREN: SWIMMING POOL AND SPA AREA

  1. The Jacuzzi, spa, sauna and steam facilities are only accessible to members aged 16 and over. Junior Members are not permitted to use those facilities. 

  1. For general swim, Junior Members must wear their Shark Band in a way that it is visible for lifeguards at all times. Junior Members may be asked to leave if they are not wearing the appropriate Shark Band. 

  1. Where Junior Members are allowed to use the swimming pool for general swim the following rules apply: 

(a) Junior Members may only use the swimming pool between 9am and 7pm. Further to this, we will be open for an additional hour (7-8pm) for Juniors 8+ yrs with shark band to lap swim and between club opening - closing for juniors aged 12+ yrs with a shark band to lap swim.

(b) Where Junior Members are under the age of 8, strict adult-to-child ratios apply. Please ask in Club for details. 

(c) Unless paragraph (d) below applies, Parents or Guardians are responsible for the constant supervision of their children while they’re in or around any depth of pool water. 

(d) Adults may leave their children aged between 8-15 years in the swimming pool as long as the pool is lifeguarded, it is within the appropriate times and the child has passed the advanced/ ‘Red Shark’ test. 

  1. There may be instances such as Galas where Club management arrange for photographs to be taken for events. This will be communicated in Club. You must inform a member of staff if you have concerns about this and make it known before the child participates in the event.  

CHILDREN: LOUNGE AREA 

  1. Any Junior Members under the age of eight must be accompanied by their Parent or Guardian whilst in the lounge area. Junior Members over the age of eight can be in the lounge indirectly supervised provided they adhere to the behaviour policy and the lounge area is behind the entry gates. Where the lounge area is situated before the entry gates Junior Members must be directly supervised by their Parent or Guardian. 

  1. Junior Members must not climb on chairs or tables or swing or climb on any railings. All furniture must be used appropriately. 

  1. Junior Members must not run in the lounge area. 

  1. Junior Members must not cycle, roller skate or use scooters anywhere in the Club. 

  2. Junior Members must respect the usage of all members within the lounge area. 

LOCKERS

  1. Lockers are subject to availability. 

  1. Virgin Active does not undertake that use of a locker will guarantee that no theft of or damage to your property will occur. We will not accept any liability in relation to locker thefts unless they result from our negligence. You should check that your household contents or other insurance policy protects you against any risk of theft. 

  1. Lockers may only be used for the purposes of keeping gym kit, toiletries, and the clothing that you were wearing when you came to a Club. The keeping of any other items in a Club’s lockers is prohibited. If Virgin Active has reasonable grounds to suspect that a locker is being used in breach of this Rule, Virgin Active reserves the right to open the locker in question (by force if necessary) and remove (and dispose of) any offending items. 

  1. With the exception of any designated private lockers, lockers are available for use only while you are on a Club’s premises. Use of a locker (other than any designated private lockers) while not on Club premises is prohibited. If you leave your belongings overnight in a locker (other than in any designated private locker), Virgin Active reserves the right to open the locker (by force if necessary) and remove (and dispose of) your belongings. 

  1. Your belongings, so removed, will be available for collection from the relevant Club’s Reception for a period of thirty (30) days, upon payment of the prevailing holding charge. If you do not collect your belongings within thirty (30) days, your belongings may be donated to charity or otherwise disposed of. 

  1. If you rent a designated private locker (if available), and if the rental fees in respect of that locker remain unpaid for more than one (1) month after the date due for payment, Virgin Active reserves the right to open the locker (by force if necessary) and remove your belongings. Your belongings, so removed, will be available for collection from the relevant Club’s reception for a period of thirty (30) days upon payment by you of the unpaid fees along with the reasonable prevailing administration charge. If you do not collect your belongings within thirty (30) days, your belongings may be donated to charity.  

  1. Where available lockers and locker keys remain the property of a Club and locker keys must not be taken from that Club’s premises at any time. 

CAR PARKING & MOBILITY

  1. Our car parks (if your Club has one) may only be used by Members, guests, and visitors while they are on Club premises. You may not leave your car in our car parks at any other time (for example, you may not leave it there following a Club visit while you go shopping elsewhere). 

  1. No unauthorised parking is permitted on Club premises. Where car parking spaces are designated for use by Members, cars must be parked properly in such spaces or they will be clamped and a fee may be charged (where applicable) for removal of the clamp. 

  1. You must be a Blue Badge holder to park in the accessible bays in our car parks. 

  1. You must park within the parking terms and conditions set out by the car park management company, as displayed on signage throughout. 

  1. You may not bring any electronic scooters or vehicles into the Club under any circumstances. For the avoidance of doubt you may not use the Club’s electricity to charge your electronic scooter or vehicle unless it is an electric car parking in a designated electric car charging point.  

PHOTOGRAPHY AND VIDEO

  1. You cannot take photographs or video recordings in the restricted areas listed below: 
    (a) Poolside 
    (b) Changing rooms 
    (c) Spa 
    (d) Steam room 
    (e) Sauna 
    (f) Toilets 
    (g) Club-V 
    (h) Children’s play area 

  1. You must not take photos or video of any children under 18 other than your own. 
    You must respect the rights of other adult members when taking photos or video in other areas of the Club by not intentionally taking photos or videos of others. You may be requested to delete them if anyone challenges whether or not they feature. 

  1. If we believe that you may have taken a photo or video footage in a restricted area or have concerns with you taking photo or video footage elsewhere in the Club, we may ask you to show us the images taken and ask you to delete them if appropriate. 

  1. We reserve the right to use any individual or group photographs or film shots of you for press or promotional purposes. However, we will attempt to notify you if filming or photography is taking place in Club and where reasonably possible, we will ask you to sign a use of image rights form to consent to usage. If you do not wish to be photographed or filmed, you should not use the Club if promotional filming or photography is going on.  

DATA PROTECTION

  1. We will deal with all information we hold about you in line with our privacy policy which you can get from our Website. If you want to know what information we hold about you, or you want us to correct any information we hold about you, the appropriate procedures are set out in our privacy policy.
